1. Who is responsible?
Ton Bogers, Nieuwe Heilaarstraat 37, 4813 AR Breda, the Netherlands, is responsible for the processing of personal data via boardit.nl. You can send questions via the contact form.
2. What data do we process and why?
- Contact form: your name, email address, club (optional) and message, to answer your question.
- Purchase of BoardIt Pro: payment is handled by Freemius, which acts as Merchant of Record and processes your payment details under its own privacy policy. Freemius provides us with your name, email address, country and the details of your order and subscription, so we can create and manage your licence and email you about it.
- Licences and updates: the plugin uses Freemius to activate your licence and deliver Pro updates. For this, Freemius receives your website address and the plugin version. If you opt in to sharing usage data in the plugin, Freemius also receives basic details about your site and your name and email address; this is optional and can be switched off at any time.
- Forum: if you create a forum account, we store your username, email address and posts.
- Website visits: our server records technical data such as your IP address and browser. To see how the website is used, we use Matomo. Matomo runs on our own server (track.pixomnia.nl), does not place cookies and only stores IP addresses in anonymised form. As a result, we only see general information, such as the pages visited, the website you came from, the type of device and browser, and the country. This data is not shared with third parties and we keep it no longer than necessary.
- Demo site (demo.boardit.nl): we use Matomo there in the same way. In addition, the demo site uses Google Analytics, but only if you give consent via the cookie notice. Google Analytics then places the cookies _ga and _ga_*, which are kept for up to 2 years; Google processes this data on our behalf, possibly outside the EEA. If you log in with the demo account, WordPress places functional cookies to keep you logged in.
3. Member data in the plugin
The BoardIt plugin runs on your club’s website. Bookings and member data stay on that website and never reach us. The club is responsible for that data.
4. Legal bases
We process data to perform a contract (your licence) or based on our legitimate interest (answering questions, securing the website and visitor statistics with Matomo).
5. Retention periods
- Contact form messages: up to 12 months.
- Licence and purchase data: as long as your licence is active, and 7 years after that because of tax record-keeping obligations.
6. Who do we share data with?
We never sell your data. We only share it with parties needed for our service: Freemius (payments), our hosting provider and our email provider. Some of these parties process data outside the EEA; where they do, appropriate safeguards are in place, such as an adequacy decision of the European Commission.
7. Cookies
We only use functional cookies that the website needs, for example to remember your language or to keep you logged in on the forum. Our visitor statistics (Matomo) work without cookies. On boardit.nl we do not use analytics or advertising cookies; for the demo site, see section 2.
8. Your rights
You have the right to access, correct and erase your data, to restrict processing, to object and to data portability, and you can withdraw your consent at any time. Send your request via the contact form. If you are not satisfied, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
9. Changes
We may update this privacy policy. The latest version is always on this page.
